MyMLS (“we”, “our”, or “us”) operates a Virtual Office Website (VOW) that provides registered consumers with access to real estate listing data from the PropTx MLS® System. This Privacy Policy explains how we collect, use, and protect your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy legislation.

2. Information We Collect

When you register and use MyMLS, we collect the following personal information:

• Full name — required for VOW registration under PropTx MLS® policy.
• Email address — used as your unique login credential.
• Password — stored securely using industry-standard hashing; never stored in plain text.
• Session activity — login/logout timestamps, search queries, and listing views, retained for audit purposes as required by PropTx.
• Device information — IP address and browser user agent, collected at login for security and compliance logging.

3. How We Use Your Information

Your information is used solely for the following purposes:

• To verify your identity and provide secure access to listing data.
• To maintain an audit trail of consumer access as required by PropTx MLS® VOW policy (§28).
• To enforce password expiry and session timeout requirements (§25, Appendix B).
• To communicate service-related notices (e.g. password expiry reminders).
• To improve the functionality and security of the platform.

We do not sell, rent, or share your personal information with third parties for marketing or commercial purposes. Your personal information may, however, be shared with PropTx for auditing and/or legal purposes, as required under PropTx MLS® VOW policy.

4. Consent

By registering on MyMLS, you consent to the collection, use, and retention of your personal information as described in this policy. You may withdraw consent at any time by contacting us to delete your account; however, withdrawal may limit your ability to access listing data.

5. Data Retention

Activity logs (searches, listing views, login/logout events) are retained for a minimum period as required by PropTx MLS® policy and applicable law. Account information is retained for the duration of your registration and for a reasonable period thereafter for audit purposes.

6. Security

We implement appropriate technical and organizational safeguards to protect your personal information against unauthorized access, disclosure, or destruction. These include:

• Passwords stored using bcrypt hashing.
• Sessions transmitted over HTTPS.
• Automatic session expiry after 60 minutes of inactivity.
• Mandatory password renewal every 90 days.

7. Your Rights

Under PIPEDA, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Request deletion of your account and associated data (subject to legal retention obligations).
• File a complaint with the Office of the Privacy Commissioner of Canada.
